SDMS allows you to manage existing documents and upload new documents using the Documents application. The Document application automatically organizes uploaded documents in levels. This avoids the need to maintain directories manually. Information can be searched and accessed easily without the need to remember the path of the document.
The fields in the tab are described as follows (see the screenshot in the next section):
• | Document ID - A sequential, unique number assigned by the system when the document becomes a part of the SDMS database. |
• | Document Name - The file name of the document including the extension. |
• | Version - The version number according to the numbering, selected when each new version is checked in. Typically the system starts the first version as 1.0. When you check a document in a new version must be assigned. |
• | File Type -The file type is used to associate the document with other elements which are used for processing the file, such as the UXML structure, import script, File Recognition Pattern (FRP) and/or Data Recognition Pattern. File Type can also be used to associate with a workflow. File type is typically classified as an SOP file, instrument file, and so on. For detailed information, see section File Types. |
• | Project - A file type can be associated with a client project during creation and/or reassigned to a different project later. |
• | Date Created - The date the file was added into the system. Frequently this value is used as selection criteria when listing documents. |
• | Attached to Workflow - A marked check box indicates if the document is attached to a workflow (see note at the end of the list). |
• | Flagged - A flagged document is categorized for purposes such as assigning permissions or using the flag as search criteria. Flagged documents have this Flagged check box marked. |
To add a flag, click the flag icon to the right of the Show All Versions check box, then:
b. | Select from the configured flags. Flags are configured in the SDMS Admin application using the Flags tab. |
NOTE A document can be attached to a workflow manually using the Attach To Workflow option in the Documents or Incoming Queue applications, in which case the workflow applies to that particular document only. Alternatively, file types can be attached to workflows and all documents with that file type are then attached to that workflow automatically. In either case the document will have the Attached to Workflow check box marked.
